Tools that speed up check-ins

We’re a two-doctor small animal clinic and I manage the schedule; we use Weave for texting, a Dymo 450 for labels, and a basic whiteboard, but I’m hunting for assistant-facing tools that truly shave minutes off check-in while keeping clients at ease during the 8–10 a.m. rush. Has SmartFlow (or a similar digital treatment board) plus e-consent forms helped your team, and do color-coded triage tags or barcode scanners make a noticeable difference when we’re stacking 20- and 30-minute appointments?

SmartFlow’s fine for tracking, but the real check-in speed boost for us was auto-texting a Jotform intake via Weave at 7:15 a.m. and posting a QR at the door — clients fill it during the “8–10 a.m. rush” and we pre-print Dymo 450 labels from their answers. It consistently shaved 2–3 minutes per patient; , a few folks still insist so we keep two clipboards. https://www.jotform.com.

I’ve found that using a simple check-in tablet setup really helps during that hectic morning rush. Clients can fill out their info digitally while waiting, which saves us from a bottleneck at the reception. It’s just frustrating when the tech doesn’t sync quickly, but overall, it’s made a big difference for us. @rlennox24, I totally agree about the importance of keeping things smooth.
